AP Toolkit Features Overview

The AP Toolkit is designed to help Accounts Payable departments extend upon standard NetSuite functionality to make their processes faster and more streamlined with a reduction in data entry errors.  There are two versions of the toolkit, a version for OneWorld NetSuite environments and one for single company NetSuite environments.  The AP Toolkit has the following features:

Segment Replication

Allows for the copying of segment information populated on the header of various transactions from the User Interface down to the individual lines.

External Approvals

Allows Vendor Bill and Purchase Order approval for employees that do not have (and do not need) access to NetSuite.  Can also be used for employees that have access to NetSuite, but would prefer emails for approval.

Intercompany Allocations

Automates the creation of the Intercompany Journal entries needed to push expenses to other subsidiaries.  This is generally used when one entity pays bills on behalf of other entities.

EZ-Allocate

Allows for allocations to be made in a more direct/easy manner than NetSuite’s standard allocation processes.

Payment Hold Release

Provides a straightforward way to release Vendor Bills for Payment.

Segment Replication

This feature uses the selected Department, Class, and Location fields in the header of the transaction and automatically copies them onto the lines.  As lines are being populated, it is no longer necessary to again select these fields on the line.  This feature also supports NetSuite custom segments, but this will require additional configuration by Kraft. 

External Approvals

This feature allows a company to have PO/Bill approvers that are not users within NetSuite or to allow those with NetSuite access to approve via email instead of logging in to NetSuite. External approvers are set up as employees within NetSuite, but need not be given access. External approvers are sent an approval email with the information from the transaction in NetSuite, a transaction pdf printout (optional), any attachments from the transaction in NetSuite, and an Approve/Reject button within the body of the email that will trigger an update back to NetSuite. This process integrates well with PO/bill approval workflows within NetSuite. 

Intercompany Allocation

This feature allows a company to allocate expenses on vendor bills/credits to multiple subsidiaries, therefore is only available for NetSuite OneWorld environments.  Simply select a form configured for Multi-Sub and fill out the standard expense information along with the subsidiary to which the specific line applies. The feature will then create the necessary intercompany journal entries needed to post those expenses to the proper subsidiary. The intercompany accounts being used in this process are also configurable globally and configurable by subsidiary. Supported on Vendor Bills and Vendor Credits.

EZ-Allocate

This feature allows the ability to quickly set up allocation records of varying combinations of segments and percentages that can easily be applied to transactions. 

Payment Hold Release

Standard functionality does not allow for toggling a bill on/off of payment hold via inline editing in a saved search/list view.  The process is cumbersome to have to open each individual bill to set/release the hold.  With this in mind, this feature has been added to the A/P Toolkit to allow for inline editing of Payment Hold.

Great product & great service

The AP product is amazing, and our bill approvals can go through a process from receiving to approval up to printing checks in minutes. The digital format has increased efficiency exponentially company-wide throughout our multiple locations. Overall, NetSuite is user friendly and accessible. We appreciate that it works like us in a logical, structured, and systematic way.

Greatly Improved AP Process

The AP toolkit allows the AP process in our company to be more efficient with the streamlined workflows it provides. We implemented it with the assistance of Kraft Enterprise Systems, who offers technical consultants that specialize in NetSuite development. We are very pleased with the improvement our company has experienced in processing AP.

So Glad!

Our experience with the AP toolkit has been great. Kraft recommended the product and we are so happy we decided to utilize. It has streamlined our processes. We no longer have to hunt down approvers for invoices. It is all automated to be approved via email! So versatile, that we are continuing to explore new ways to utilize. We were extremely pleased we partnered with Kraft for our NetSuite conversion. They went above and beyond to understand our processes and make suggestions on how we could utilize the system different than how we were currently operating.
