  • Send a ScreenShot message to the person responsible for approval of your purchase order. Message includes an image and a link directly to the purchase order which makes it easy for the recipient to go to that record and approve it.
  • When implementing NetSuite there is always a lot of questions from the new users. When ever a user gets stuck they can take a screenshot of the record to initiate a new message. This structured way to ask for help will save the recipient a lot of time and it will be much easier to understand what the user needs help with.

Message Portlet

On the dashboard the user have a ScreenShot Message Portlet. The Portlet has two tabs, Inbox and Outbox and a New Message button

If the user sends a message they can track it in the Outbox tab. As long as the message is unread the message subject will be in bold. This makes it easy for the user to know if the recipient has read it or not.

If the user answers a message in the inbox it will instantly move to outbox. 

To start a new conversation without any screenshot the user can simply click on the New Message button.

The ScreenShot portlet is very intuitive and easy to understand.

Message Dialog

When opening a message the user will see the conversation in a "chat" like window with the latest message at the top. To make it even easier to follow, each message in the conversation has the writers picture attached.

A new conversation can be started in two ways.

  • From the ScreenShot Message portlet
  • From any record in NetSuite via the button "ScreenShot"
When the user is clicking the ScreenShot button a screenshot is captured and a new message is opening up.

The user can start with editing the screenshot, adding text and highlight what he or she think is important just to make it clear what needs to be done or what they need help with.

The user also has to put in a subject and can also write a message.

Before sending the message the user has to chose a recipient. They can chose any employee they like or the can chose a "Area or Responsibility" and then the list of employee will be filtered down and only show employees that are part of this team

Area Of Responsibility

When choosing an "Area or Responsibility" the list of employee will be filtered down and only show employees that are part of this team (assigned responsible s), a feature which is very good, especially in large organizations where the users don´t know who is responsible for a certain area. It is also very effective when starting up a new NetSuite project and you have several super users who are responsible for helping new end users. It makes it clear for the end user who to contact with different questions and the super users gets questions which are structured and easy to understand.

Assign the more advanced users as responsible for different "Areas of Responsibility" and the rest of the users can much faster get help from someone who is really qualified.
